Easy Wholesale is an app for Shopify stores that sells wholesale: group prices, wholesale registration, order rules and payment rules. This policy explains which personal data it processes, why, who sees it, how long it is kept and how to have it deleted.
Data we process
About the store (the merchant): the shop’s domain, name, contact email, currency and language, the plan it chose, and an access token to the store’s Shopify admin, which we keep encrypted. Plus everything the merchant configures in the app: customer groups and their tags, pricing, order, restriction and payment rules, and the storefront and email settings.
About the merchant’s customers: when someone applies for a wholesale account through the registration form, we store what they typed (email, first and last name, and, if the merchant’s form asks for them, company, phone, tax ID, a message and other answers), the status of the application and the merchant’s notes about it, and we add the applicant to the merchant’s own Shopify customers right away: name, email, the phone when it is a valid international number, and a summary of the answers in the customer’s note, tagged “wholesale-applicant” (an existing customer with that email gets the tag and the summary added to their note). For customers who carry a wholesale group tag in Shopify we keep a copy of their Shopify customer id, email, name, tags and whether they are tax exempt, so the app does not have to ask Shopify on every page view. We do not receive or store payment details, addresses or order contents.
Technical data: the visitor’s IP address, used for rate limiting and spam protection (Cloudflare Turnstile) on the registration form, and kept for a short time in counters and server logs.
At checkout, the app’s Shopify Functions run inside Shopify. They read the customer’s tags and the cart, and the rules we published to the store. Nothing is sent to us from checkout.
Why we use it
To provide the service: show wholesale prices and hide or lock what the merchant chose, run the order and payment rules at checkout, receive and review applications, record each applicant as a customer in the merchant’s Shopify admin and tag them as approved (the group’s tag) or rejected (“wholesale-rejected”) when the merchant decides, mark them tax exempt if the group says so, and send the applicant a welcome email and the merchant a notice of new applications.
To bill the subscription, which is done by Shopify (we only read which plan the store has), and to keep the service secure and prevent abuse.
We also keep the store’s name, email, install and uninstall dates and plan in our customer records, the same ones we keep for the other Shopify apps we make at DevCloud, to give support and to write to the merchant about this app. No data about the merchant’s customers goes there.
We do not sell personal data, and we do not use it to advertise or to build profiles.
Who is responsible for what
The merchant is the controller of its customers’ data, and Easy Wholesale processes it on the merchant’s behalf to provide the service. If you applied for a wholesale account, ask the store for your data or its deletion; the store can do it from the app, and you can also write to us.
Who we share it with
Shopify (the store’s admin, where the app reads and writes customers and its own configuration). Providers we rely on to operate: hosting and infrastructure (DigitalOcean), email delivery (SendGrid) and spam protection (Cloudflare Turnstile). Each receives only what it needs for its part.
How long we keep it
While the app is installed. When it is uninstalled we delete the access token at once, and 48 hours later, when Shopify tells us to, we delete everything the store put in the app: configuration, applications, notes and the customer copy. If Shopify asks us to erase a customer (customers/redact), we delete that customer’s applications and cached record from that store. If Shopify sends a data request (customers/data_request), we send the merchant the applications we hold for that customer.
The customer records described above are kept until the store asks us to delete them at sales@devcloudsoftware.com. Rate-limit counters and technical logs are kept for a limited time.
Security
All traffic is encrypted (HTTPS). Shopify access tokens are stored encrypted. Every row of data belongs to one store, and the app only ever reads or writes the rows of the store that is signed in. Requests from Shopify (webhooks, the storefront proxy and the admin) are verified before they are acted on.
Cookies
The app inside the Shopify admin and the storefront blocks use no tracking or advertising cookies. The registration form loads Cloudflare Turnstile, which may set a technical cookie to tell people from bots.
Your rights and contact
You can ask for access to, correction of or deletion of your data by writing to sales@devcloudsoftware.com. We may update this policy; the date above shows the latest version.
